Telephone Conferencing

Description

Telephone conferencing gives UTRGV faculty and staff the capability to connect with remote individuals or teams, no matter their location, through one phone call.

Purpose

To provide active UTRGV faculty and staff the ability to hold meetings and conferences over the phone.

Telephone Conferencing benefits include-

Hours of Availability

Meet Me Conferencing, AT&T Reservation and Reservationless Conferencing: Monday-Friday 8:00 am to 5:00 pm. excluding University holidays.

Types of Teleconferences Available

There are five different ways to conduct a teleconference at UTRGV.

  • Conferencing Phone System:
    • Polycom Conference Phone (Edinburg):submit a service request to AV Support.
    • Cisco Conference Phone (Brownsville/Harlingen): submit a service request to AV Support.
  • Office phone to conduct a telephone conference:
    • For spontaneous conference calls without having to submit a service request.
    • Maximum of five participants.
    • Instructions are available on how to use your office phone.
  • Meet Me conferencing: 
    • Maximum of five participants on a teleconference call.
    • On campus telephone conferencing, free of charge to active UTRGV faculty and staff. 
    • Day to day teleconferencing.
    • Must be requested two hours before teleconference is to take place time.
    • Submit a service request in ServiceNow using these instructions.
  • AT&T Telephone Conference Reservation:
    • Minimum of five participants. 
    • Can be requested in advance (a day, week, month) .
    • Telephone bill will be charged to requestor's department/division.
    • there is no limit to the number of people joining the teleconference.
    • If the teleconference will no longer take place, then the requestor needs to cancel at least 2 hours before time reservation is to begin.
    • Submit a service request in ServiceNow using these instructions.
  • AT&T Reservationless Telephone Conference:
    • If a department or division conducts teleconferences on a daily basis, then they can submit a service request for a reservationless teleconference, where a 1-800 telephone number will be issued to the requestor.
    • Department will be charged only when they use the teleconference number.
    • Must at least use the teleconference number twice in 6 months or the teleconference number will become inactive.

Purchase a Conference Phone

Edinburg Campus: Purchase a Conference Phone on iShop

Brownsville/Harlingen Campus: Submit a service request in ServiceNow to request a quote for a conference phone. Telephone Services will contact requester will a quote from a vendor. Requestor can then purchase the conference phone on iShop using the Non-catalog option.
