JobX Description


What is JobX?

JobX is UTRGV’s new applicant tracking system with a focus on student and temporary positions. JobX will allow supervisors to streamline the process to post jobs, review applications, extend job offers, and decrease the time of the hire processing within one system. JobX will allow students and non-students to search for part-time job postings, apply for jobs and completing the hiring process. Supervisors and applicants will be able to see updates in real-time making the hiring process a lot easier and quicker.

How to Access JobX

To access JobX as a UTRGV student, log on to my.utrgv.edu and click on the JobX Icon. If you are not currently a UTRGV student and are interested in our part-time job opportunities, please email studentemployment@utrgv.edu to gain access to JobX.

Supervisors FAQs

UTRGV utilizes the JobX system to support the job posting, application, hiring, and reporting process for student and temporary employees and their supervisors.

TimesheetX will provide integrated ability to submit timecards and obtain approval while ensuring compliance with labor and Federal Workstudy regulations for employees, and supervisors.

If you are currently a student-employee supervisor, you will automatically have access to JobX.

If you are not currently a student-employee supervisor, please request access from the JobX Employer page. Once submitted, the Student Employment Office will review and process your request. For more information, please contact studentemployment@utrgv.edu.

For instructions in how to post a job, please refer to the JobX User Guide.

There is no limit, the amount of job postings created will vary depending on the departmental needs.

As a supervisor, you will be able to post on-campus, off-campus, work study, direct wage, SEI, professional temp staff, and part time non-student positions on JobX.

No, you will not need to submit a work-study request on the Work-study Program SharePoint. You will be able to post your Work-Study job and hire on JobX.. The Work-Study office will review your hire on JobX.

No, the hiring department will have the ability to post their Work-Study job on JobX and be able to hire in JobX.

Yes, JobX has the feature for supervisors to view student information and any uploaded documents.

Yes, hiring departments will be able to see if a student has a work-study award if they are eligible and have been awarded.

Student positions do not automatically renew from year to year. It is the employer’s responsibility to rehire students each year or each term, depending on the length of the assignment. The students can apply for the specific job posting in JobX or the department can hire the student by searching for their name and email information, then select them as a non-applicant.

Job X – offers employment opportunities for on and off campus jobs, it is also the hiring portal for part-time and student employees with an integrated hiring process. No additional hiring form will need to be submitted using the HR Portal.

Handshake – features internship opportunities, non-Work-Study off campus third party employment, and promotes events. No integration into any UTRGV process.

Effective March 1, 2024, any student employment jobs posted on Handshake, will be closed and/or declined. For all new job posting requests, please refer to Job X. Select Handshake advertising can be done in coordination with the Student Employment Office.

A job must be created in Job X, however you can place it in “active/not listed” mode, which will prevent job-seekers from viewing and applying for the position. You can then hire the student as “not applied”.

No, one job posting can be created and several students can be hired from this posting.

This is a warning stating that the student has an additional assignment, this will not prevent you from finalizing the hire. Given that student employees can work up to 19 hours per week, additional information will be requested from the Student Employment Office. Once reviewed, the Student Employment Office will notify the hiring department if the additional assignment is approved.

Assignments for students who wish to move to another department or stop work before their scheduled end date, can have their assignment revised by updating the end date in JobX.

If a student is leaving because of work performance and/or other issues, please follow the guidelines in the Student Employment Handbook. After you have followed the guidelines and there are still issues and you wish to terminate the assignment, please complete a Separation form via the HR Portal.

In your job control panel, click on the position title you would like to edit and click [Edit this Job]. Please refer to the JobX User Guide for step-by-step instructions.

Depending on the volume and complexity of the job, it can take 2 – 3 business days for approval.

Yes, Job Codes and Student Titles will remain the same. To access these, please click here (link available soon).

Before creating a job posting to recruit Part Time Non-Students, please contact studentemployment@utrgv.edu for further guidance. JobX will allow supervisors to post and recruit non-students.

No, you can extend the assignment with the same job posting. Job postings can be used per fiscal year.

Students FAQs

UTRGV utilizes the JobX system to support the job posting, application, hiring, and reporting process for student and non-student employees and their supervisors.

Yes, both platforms allow you to search and apply for jobs. JobX is the new centralized platform that will allow you to search, apply and get hired for jobs on-campus or with UTRGV off-campus Work-Study employers.

Information on Handshake will not be transferred over to JobX/TimesheetX. You will be responsible for creating a new job application, including your resume and other applicable documents in JobX/TimesheetX.

JobX is a centralized platform that will facilitate the hiring process for on-campus employment. This platform will provide instant notifications and updates on your application status. This platform will not change the number of available jobs.

The hiring process should take approximately two weeks to complete. For updates on the hiring process, please contact the hiring manager or check online on your JobX status, which will be updated in real time.

Yes, as long as you meet eligibility requirements, you will be able to search and apply for jobs.

Supervisors will be able to access the information you provide on the application and any uploaded documents. Supervisors will also have access to view course schedules, work study awards (if applicable), enrollment status and active job assignments.

If you are no longer interested in being considered for a job that you have applied for, you will have the option to withdraw your application. This will mean that the hiring manager will no longer be able to access your application. Once you withdraw your application, the application cannot be recovered.

Original and unexpired documentation must be presented in person at any of our Human Resources offices. Documentation cannot be uploaded to JobX for review. For more information, please contact HR@utrgv.edu.
